HIPAA Policies and Procedures
Oak Grove takes HIPAA compliance seriously to ensure that all Protected Health Information remains secure and protected within the practice. You, your safety, and your private information are my top priority.
Password Changing
HIPAA requires changing passwords every 3 months (90 days) for forward programs that contain Protected Health Information. I agree to change these passwords every 3 months to protect health information.
Using HIPAA-Compliant Programs
Oak Grove uses software programs that are HIPAA Compliant, including JotForms, SessionsHealth, and Zoom. These platforms are used to keep your information secure and protected and maintain confidentiality.
HIPAA Compliance Testing
I am a certified HIPAA Complaint professional. All therapists and individuals at Oak Grove understand the importance and process of protecting health information and maintaining privacy and confidentiality.
Emailing
Emailing is NOT a confidential way to communicate with me. I cannot guarantee that your information will remain protected if you communicate with us through email. Email should only be used to discuss scheduling, sending referrals, and brief introductions without details.
Texting
Texting is NOT a confidential way to communicate with me. I cannot guarantee that your information will remain protected if you text me or anyone at Oak Grove. Text should only be used to discuss scheduling.
Calling
Calling is NOT a confidential to communicate. I cannot guarantee that your information will remain protected if you communicate with me through the phone. Calling should only be used to discuss scheduling.
Friending
I do not accept friend or contact requests from current or on any social networking site (Facebook, LinkedIn, Instagram, etc.). Adding clients as friends on these sites can compromise your confidentiality and our therapeutic relationship. This is for your protection and privacy.
Following
I will not follow any client on Twitter, Facebook, Instagram, Snapchat, TikTok, blogs, or other apps/websites. If there is content you wish to share from your online life, please bring it into our sessions, where we can explore it together.
Search Engine
It is not a regular part of this practice to search for clients on Google, Facebook, or other searchable sites. The only information I know is the information you share in our sessions. An exception could be during a crisis. If I have reason to suspect you are a danger to yourself or others, and I have exhausted all other reasonable means to contact you (email, phone) and/or your emergency contact, then I may use a search engine for information to ensure your welfare. If this occurs, I will fully document the search and discuss it with you at your next session for full transparency.
Professional Relationship
The relationship between clinician and client will be contained within the 53-minute session. I am not active on emails outside of session hours other than sending referral requests and scheduling future sessions. Our relationship is professional and contained. You may email me however, please note that the email is not HIPAA compliant and I may not read or respond to said email. I am NOT an emergency contact or resource for you and I will not act as such. Please contact 911, 988, and your emergency contact for emergency services.
